1. About this Privacy Notice 

Talk Conexus respects your privacy and is committed to handling your personal information carefully and transparently. 

This Privacy Notice explains what personal information I collect, why I collect it, how I use and protect it, and the choices and rights you have in relation to your information. 

Talk Conexus is an independent coaching and facilitation business operated by Faye Myall. 

For the purposes of data protection law, I am responsible for deciding how and why your personal information is processed.

2. What information I collect 

The information I collect depends on how you interact with Talk Conexus. 

This may include: 

If you contact me 

If you contact me through the Talk Conexus website, by email or through another enquiry, I may collect: 

  • your name; 

  • email address; 

  • organisation and job role, where relevant; 

  • telephone number, if you provide it; 

  • information contained within your enquiry or correspondence. 

If you receive coaching 

If you work with me as a coaching client, I may collect information needed to establish and maintain the coaching relationship and provide the service. 

This may include: 

  • your name and contact details; 

  • information about your role or work; 

  • information you choose to share during coaching; 

  • agreed goals or areas of focus; 

  • coaching notes; 

  • agreed actions or reflections; 

  • information relating to the practical arrangements for your coaching. 

Coaching conversations are led by what you choose to bring to the conversation. You are not required to disclose information that you do not wish to share. 

You may also choose to discuss personal or sensitive matters during coaching. This can sometimes include information relating to your health or wellbeing. Where this happens, I will only process such information where there is a lawful basis and an appropriate condition under data protection law, and only to the extent necessary for the purpose. 

If you attend a workshop or facilitated session 

I may collect: 

  • your name and contact details; 

  • organisation and role; 

  • booking or registration information; 

  • information you provide when arranging or attending a session; 

  • evaluation and feedback information. 

If you complete a questionnaire or evaluation 

Talk Conexus uses Microsoft Forms for pre-coaching questionnaires, workshop bookings and feedback/evaluation forms. 

The information collected will depend on the purpose of the form and will only be used for that purpose and related administration. 

If you provide a testimonial 

You may choose to provide feedback about your experience of working with Talk Conexus. 

I will only use your feedback as a testimonial for marketing purposes where you have given specific consent for this. 

Where you have agreed to a named testimonial, this may include your name and occupation or role, as specified when you gave consent. 

You can withdraw consent for future use of a testimonial at any time. 

 

3. How I use your information 

I use personal information where necessary to: 

  • respond to enquiries; 

  • arrange and provide coaching, facilitation and workshops; 

  • communicate with you about services you are receiving; 

  • understand your requirements and prepare appropriately for sessions; 

  • maintain appropriate coaching and business records; 

  • administer bookings and payments; 

  • provide and evaluate services; 

  • respond to feedback; 

  • improve my services and practice; 

  • maintain appropriate professional and business records; 

  • send news and information about Talk Conexus where you have chosen to receive it; 

  • meet legal, regulatory or accounting requirements; 

  • establish, exercise or defend legal claims where necessary. 

I aim to collect only information that is relevant and necessary for these purposes. 

 

4. Our lawful basis for processing 

Data protection law requires me to have a lawful basis for processing personal information. 

Depending on the circumstances, I may rely on: 

Contract – where processing is necessary to provide services you have asked me to provide or to take steps at your request before entering into an agreement. 

Legitimate interests – where processing is necessary for the reasonable running and development of Talk Conexus, provided that these interests are not overridden by your rights and interests. 

Legal obligation – where I need to process information to comply with a legal or regulatory requirement. 

Consent – where you have actively chosen to give consent, for example when subscribing to marketing communications or consenting to the use of a testimonial. 

Where consent is used, you can withdraw it at any time. 

Where information you provide falls within the special categories of personal data, such as information concerning health, an additional condition under data protection law is also required. Where appropriate, I will seek explicit consent or rely on another applicable legal condition. 

 

5. Marketing communications 

I may occasionally send information about Talk Conexus, including news, workshops, services or future offers. 

I will only send marketing emails where you have actively chosen to receive them, for example by: 

  • selecting the relevant subscription option on the Talk Conexus website; or 

  • emailing me to confirm that you would like to receive news and future offers. 

You can unsubscribe at any time. 

You can also contact me directly at faye@talkconexus.co.uk if you no longer wish to receive marketing communications. 

Marketing consent is separate from your agreement to receive services from Talk Conexus. 

 

6. How I use coaching notes 

I may make brief notes during or after coaching sessions to help me remember what we have explored, support continuity between sessions and reflect on my practice. 

Where appropriate, I may share relevant coaching notes with you so that you can refer back to the work we have done together. These are shared specifically with you through a secure OneDrive link. 

I also undertake professional reflection and supervision as part of my development as a coach. Notes made for my own professional reflection or supervision are kept separately and are not routinely shared as part of your coaching notes. 

I keep the amount of information I record proportionate to the purpose for which it is needed and take steps to keep it secure. 

 

7. Online coaching and Microsoft Teams 

Coaching sessions may take place using Microsoft Teams. 

I arrange the Teams meeting through my Microsoft account and send the meeting invitation to you. 

Information processed through Microsoft Teams is also subject to Microsoft’s own privacy and data protection arrangements. 

I do not routinely record coaching sessions. 

If recording were ever proposed, this would be discussed with you in advance and appropriate consent obtained where required. 

 

8. Who I share your information with 

I do not sell your personal information. 

I may share or allow access to personal information with service providers where this is necessary to operate Talk Conexus and provide services to you. 

These may include: 

  • Squarespace, which hosts the Talk Conexus website; 

  • Microsoft, including Outlook, Microsoft Forms, OneDrive and Microsoft Teams; 

  • banking and payment services where necessary to process or verify payments; 

  • professional advisers or other service providers where reasonably necessary to operate the business; 

  • relevant authorities where I am legally required to provide information. 

Where third-party providers process information on my behalf, I take reasonable steps to ensure that appropriate data protection and security arrangements are in place. 

Some service providers may process information outside the UK. Where this occurs, appropriate safeguards required by applicable data protection law will apply. 

 

9. Website forms 

The Talk Conexus website uses Squarespace. 

If you use the website contact form, the information you provide is used to respond to your enquiry and, where relevant, to establish or discuss a potential working relationship. 

Information submitted through Microsoft Forms is used for the specific purpose for which the form was provided, such as a coaching questionnaire, workshop booking or evaluation. 

Please do not provide information through a general enquiry form that you would not expect to be used for the purpose of responding to your enquiry. 

 

10. Cookies and website analytics 

The Talk Conexus website uses cookies and similar technologies. 

Some cookies are necessary for the website to operate securely and effectively. Other cookies may be used for purposes such as analytics or improving the website experience. 

The website uses a cookie banner that allows you to accept all cookies or decline non-essential cookies and manage your preferences. 

Non-essential cookies are restricted unless you choose to allow them. 

Talk Conexus does not currently use the Squarespace Activity Log for website analytics.

11. How I keep your information secure 

I take reasonable and proportionate steps to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. 

This includes: 

  • using password-protected accounts; 

  • using Microsoft services with appropriate account security; 

  • restricting access to client information; 

  • keeping private working notes separate from information shared with clients; 

  • only sharing information where there is a legitimate reason to do so; 

  • regularly reviewing the information I hold and removing information when it is no longer needed. 

No method of storing or transmitting information can be guaranteed to be completely secure, but I take appropriate steps to reduce the risks. 

 

12. How long I keep information 

I only keep personal information for as long as it is reasonably necessary for the purpose for which it was collected, unless I am required to retain it for longer by law. 

As a general guide: 

  • Enquiry information: normally retained for up to 12 months after the enquiry has ended where there is no ongoing relationship. 

  • Coaching records and notes: normally retained for a reasonable period following the end of the coaching relationship and then securely deleted, subject to any ongoing legal or professional requirements. 

  • Workshop bookings and evaluations: normally retained only for as long as necessary for administration, evaluation and business records. 

  • Financial and payment records: retained for the period required by applicable tax and accounting requirements. 

  • Marketing information: retained while you remain subscribed, and removed or suppressed when you unsubscribe, subject to any information I need to retain to record your preference. 

  • Testimonials: retained while consent for their use remains in place, unless there is another legitimate reason to retain the underlying feedback. 

Retention periods may vary where circumstances require information to be kept for longer, for example where there is an ongoing legal matter. 

 

13. Your rights 

Under data protection law, you may have rights including: 

  • the right to ask for a copy of the personal information I hold about you; 

  • the right to ask me to correct inaccurate or incomplete information; 

  • the right to ask me to delete your personal information in certain circumstances; 

  • the right to ask me to restrict how your information is processed in certain circumstances; 

  • the right to object to certain processing, including direct marketing; 

  • the right to withdraw consent where I am relying on consent; 

  • the right to data portability in certain circumstances. 

These rights are not absolute and may depend on the circumstances and the lawful basis being relied upon.

General Terms & Conditions

1. About Talk Conexus 

Talk Conexus is the trading name of Faye Myall, a sole trader based in the UK. 

These General Terms & Conditions apply to services provided by Talk Conexus unless different terms have been agreed in writing for a particular service. 

Additional terms may apply to specific services, including public workshops, organisational services and coaching. 

Where specific service terms apply, those terms should be read alongside these General Terms & Conditions. If there is a conflict between them, the specific service terms will take precedence for that service. 

2. Services 

Talk Conexus provides coaching, facilitated workshops, team sessions, thinking spaces and related developmental services. 

The purpose of the work is to provide people with space to think, reflect, explore different perspectives and identify practical ways forward. 

Talk Conexus does not provide therapy, counselling, medical treatment, crisis support or other clinical services. 

Participants and clients remain responsible for their own decisions, actions and how they apply anything discussed during the work. 

Talk Conexus does not guarantee a particular personal, professional or organisational outcome. 

3. Booking and contracting 

The arrangements for each service will be confirmed before the work begins. 

Depending on the service, this may include agreement about: 

  • the purpose of the work; 

  • what the client or organisation wants to achieve; 

  • the nature and scope of the service; 

  • practical arrangements; 

  • fees and payment; 

  • confidentiality and information sharing; 

  • cancellation arrangements. 

Talk Conexus aims to work collaboratively and transparently, and arrangements may be reviewed if the purpose or circumstances of the work change. 

4. Fees and payment 

Unless otherwise agreed in writing, Talk Conexus will issue an invoice and payment will be made by BACS. 

Payment is due in accordance with the terms stated on the invoice. 

For services requiring payment before delivery, the booking or place will not be confirmed until payment has been received. 

Talk Conexus reserves the right not to provide a service where payment has not been received in accordance with the agreed terms. 

5. Cancellation and changes 

Cancellation arrangements vary according to the service and will be set out in the relevant service-specific terms or agreement. 

Talk Conexus will always aim to deal reasonably with unforeseen circumstances and will communicate any changes as soon as possible. 

Where Talk Conexus needs to cancel or reschedule a service, an appropriate alternative date, credit or refund will be offered as set out in the relevant service terms. 

Talk Conexus will not normally be responsible for additional costs incurred by a client or participant as a result of a cancellation or rescheduling, such as travel, accommodation or other arrangements made independently of Talk Conexus. 

Nothing in these terms affects any statutory rights that cannot legally be excluded or restricted. 

6. Delivery 

Services may be delivered online, in person or through a combination of approaches, depending on the service agreed. 

Online services may be delivered using Microsoft Teams or another agreed platform. 

Clients and participants are responsible for having suitable access to the required technology and, where appropriate, a suitable environment in which to participate. 

Talk Conexus will take reasonable steps to provide services as agreed but cannot be responsible for interruptions caused by a client’s equipment, internet connection, third-party platforms or circumstances outside its reasonable control. 

7. Participation and conduct 

Talk Conexus aims to create spaces where people can think, question, reflect and contribute openly. 

Participants are responsible for deciding what they wish to share. 

Talk Conexus expects everyone participating in its services to treat others with respect. 

Discriminatory, abusive, threatening or seriously disruptive behaviour will not be accepted. 

Where behaviour prevents a session from being delivered safely or constructively, Talk Conexus may end an individual’s participation or, where appropriate, refuse future bookings. 

8. Confidentiality 

Talk Conexus will treat information shared within the professional relationship with appropriate care and will not knowingly disclose confidential information to others except: 

  • where the client or participant has agreed to the disclosure; 

  • where disclosure is necessary to provide the agreed service; 

  • where there is a legal or professional obligation to disclose information; 

  • where disclosure is necessary to protect someone from serious harm. 

For group workshops and facilitated sessions, Talk Conexus cannot guarantee that other participants will maintain confidentiality. 

Participants are therefore asked not to share personal or identifiable information about other participants outside the session. 

Where different confidentiality arrangements apply to a particular service, these will be explained as part of the contracting process. 

9. Safeguarding and serious concerns 

Talk Conexus is not a crisis or clinical service. 

If information is shared that raises a serious concern about someone’s immediate safety or the safety of another person, Talk Conexus may need to take appropriate action, including contacting an appropriate service or emergency support where necessary. 

Where possible, this will be discussed with the person concerned. 

10. Workshop and service materials 

Materials provided by Talk Conexus, including workbooks, worksheets, presentations and other resources, remain the intellectual property of Faye Myall / Talk Conexus unless otherwise stated. 

Clients and participants may use materials provided to them for their own learning and development. 

Materials must not be copied, reproduced, distributed, commercially reused or shared outside the agreed purpose without prior written permission. 

11. Recording 

Talk Conexus does not routinely record coaching sessions, workshops or facilitated sessions. 

Participants and clients must not make audio, video or photographic recordings, including screenshots, of sessions or other participants without prior agreement from Talk Conexus and, where relevant, those involved. 

Where a particular service is recorded for an agreed purpose, this will be discussed in advance and appropriate information will be provided. 

12. Intellectual property 

Talk Conexus retains ownership of its original materials, resources, frameworks, written content and other intellectual property unless ownership has been expressly agreed otherwise in writing. 

Clients may use materials supplied to them for the purpose for which they were provided but may not reproduce or commercially exploit them without permission. 

13. Data protection 

Talk Conexus processes personal information in accordance with applicable UK data protection legislation. 

Further information is provided in the Talk Conexus Privacy Notice. 

Talk Conexus aims to collect and retain only information that is necessary and proportionate to the service being provided. 

Information relating to coaching, workshops and other services may be stored securely to support administration, continuity, professional practice and the delivery of services. 

Clients and participants have rights in relation to their personal information as set out in the Privacy Notice. 

14. Accessibility and reasonable adjustments 

Talk Conexus wants its services to be accessible and inclusive. 

If a client or participant has an accessibility requirement or would benefit from a reasonable adjustment, they are encouraged to discuss this with Talk Conexus as early as possible. 

Talk Conexus will consider reasonable adjustments in relation to the service being provided. 

15. Complaints 

Talk Conexus welcomes feedback and aims to resolve concerns openly and reasonably. 

If you are unhappy with a service or have a concern, please contact Faye in writing at Faye@talkconexus.co.uk. Written complaints will normally be acknowledged within 5 working days and a full response will normally be provided within 30 days. 

Nothing in these terms limits any statutory rights you may have. 

16. Circumstances outside reasonable control 

Talk Conexus will not be responsible for failure or delay in providing a service where this results from circumstances outside reasonable control. 

This may include serious illness, bereavement, significant technical failure, interruption to essential services, severe weather, emergency situations or other circumstances that could not reasonably have been anticipated or prevented. 

Where possible, Talk Conexus will communicate with clients and participants and offer an appropriate alternative arrangement. 

17. Changes to these terms 

Talk Conexus may update these General Terms & Conditions from time to time. 

The version applicable to a service will normally be the version provided or made available when the service is booked or agreed. 

Any significant changes affecting an ongoing service will be communicated where appropriate. 

18. Governing law 

These terms are governed by the laws of England and Wales. 

Nothing in these terms affects any statutory rights that apply to consumers or other clients and cannot legally be excluded.
